Description Job Description:Leidos is seeking a Senior Administrative Assistant / Program Analyst to support efforts for NGEN-R; supporting Network Operations and Service Delivery efforts to ensure operational readiness for execution.NGEN-R is the largest IT services program for the Navy. Under the Service Management, Integration, and Transport portion of NGEN-R, the Leidos team will deliver the core backbone of the Navy-Marine Corps Intranet, including cybersecurity services, network operations, service desk, and data transport. Ultimately, Leidos will support the Navy in unifying its shore-based networks and data management to improve capability and service while also saving significant dollars by focusing efforts under one enterprise network.The Senior Administrative Assistant will serve as a member of the NGEN Enterprise Operation Team and provide direct support to the Assistant Directors for Network Operations and Service Delivery supporting the program's operational efforts including, but not limited to, traditional administrate functions for leadership team. The ideal candidate will have an understanding of project management processes in order to support the NGEN-R SMIT Contract operational team. In this position, the Senior Administrative Assistant will need to exhibit strong leadership skills, provide administrative support to ensure efficient operation of the office. Support managers and employees through a variety of tasks related to organization and communication.Responsible for confidential and time sensitive material.Ability to effectively communicate with functional stakeholders via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely mannerPrimary Responsibilities* Serve as the Senior Administrative Assistant for the Network Operations and Service Delivery teams* Manage and oversee scheduling and logistics for senior leaders calendars* Coordinate travel arrangements, logistics for travel* Prepare EA's and ER's for senior leaders (submit ERs within two weeks of travel)* Serve as point person and monitor in person visits as appropriate* Organize and manage high level meetings and events for leadership meetings (support agenda and slide creation, announcements, post event collection and storage of final artifacts)* Assist leadership and staff with tasks and meeting corporate timelines * Support leadership staff by preparing conference room for meetings (Skype, be there 10 minutes early to work issues, etc.)* Assist with the development of content for program reviews and contract milestones* Assist with the compilation of program documentation inclusive of work instructions, management plans, and directives* Work with functional support teams, including project controls, contracts, subcontracts, and security, to assist with program requirements* Support the technical publications team with writing support, peer reviews, quality reviews, and file management support.* Attend technical meetings and prepare formal written minutes for delivery to the government.* Other duties as requiredBasic Qualifications* High School diploma or equivalent required. Associate's or Bachelor's Degree in Business Administration or related area preferred but comparable accomplishments in an administrative support role within a professional business environment will be considered.* Possess a minimum of 3+ years of specialized administrative support experience of an increasing responsible nature at a senior/executive level, and have demonstrated the ability to work with executive staff in a proactive manner.* Possess an advanced level of knowledge and experience with Microsoft Office suite (Word, Excel, Outlook, and PowerPoint).* Be a highly organized professional with strong attention to detail and follow through with the ability to handle multiple, complex tasks and establish priorities.* Have the ability to work independently without significant guidance and be able to exercise good judgment, taking initiative when necessary.* Have excellent analytical problem solving skills with ability to leverage experience to anticipate, identify and resolve problems or obstacles resourcefully with diplomacy and efficiency.* Exude highly effective interpersonal skills and have strong communication skills, both verbally and in writing, and have the ability to interface professionally with all levels within and outside the Company, to include demanding or challenging individuals.* Be a dedicated and enthusiastic individual, and have a strong desire to handle new challenges.* Possess demonstrated experience working with confidential information and ensure sensitive information is not shared inappropriately.* Plan to work outside of the core schedule as needed periodically to assist with special projects.* Assist with the maintenance of staffing data and staffing metrics, and providing reports to leadership team as needed* Able to multi-task, self-assign work, and function in a dynamic, fast-paced environment* Good verbal and written skills* Proficiency with MS Office Products (Outlook, Word, Excel, SharePoint, and PowerPoint)* US citizenship and the ability to obtain a DoD SECRET security clearance Preferred Qualifications* BA degree and 2 - 4 years of prior relevant experience or Masters with less than 2 years of prior relevant experience.* Currently possess an active DoD SECRET security clearance* Experience with collaboration sites, such as SharePoint.* Knowledge of the Leidos organization, policies, and procedures, Business Unit, Group, and Company is strongly preferred.* Experience with the Concur Travel and Expense system is desirable.* An ability to maintain a flexible outlook with the willingness to accept additional assignments as needed.* The ability to work with diverse personalities and communicate effectively both verbally and in writing with all levels of contacts.* The ability to work independently as well as in a cohesive manner with other executive assistants.* 10-12 years of prior relevant administrative assistant experience * Experience supporting multiple senior level management* Experience working with Senior Program Management Office leaders for very large DoD contractsExternal Referral Bonus:IneligiblePotential for Telework:NoClearance Level Required:NoneTravel:NoScheduled Weekly Hours:40Shift:DayRequisition Category:ProfessionalJob Family:SCA SecretarialPay Range:Leidos is a Fortune 500----information technology, engineering, and science solutions and services leader working to solve the world's toughest challenges in the defense, intelligence, homeland security, civil, and health markets.
